Online Reservation Options

Reservation Add-Ons - If you want to sell Additional Addons (spa, tickets, flowers, cookies, services), check this box. The AddOns are setup inside roomMaster Setup.

Promotional Codes - To allow using Promotional Codes and/or Group codes, this must be checked to allow the user in the booking engine to enter a code.

Allow Booking Multiple Rooms - To allow booking more than one room of the same type. When unchecked, the guest can only book one room at a time.

Allow Children for Booking - If this site is an 'adult only' site and you do not want to allow children, uncheck this box.

Show Sold-Out Rooms - When checked, Sold-Out Rooms will appear, but "Sold Out" will appear near a picture of the room. When unchecked, Sold-Out Rooms will be hidden in the Room View/ and List View.

Display Low Availability Warning - When checked, if a room has only one room left in inventory, a message will appear underneath the room type that says "Only one left".

Full Address Required when Making a Reservation - When checked, a guest must enter a street, city, state, ZIP/Postal Code to complete their reservation.

Always allow all rates to be selected - When checked, all the rates that the site is selling will be displayed. This is recommended to make the booking process more streamlined. When unchecked, only the rates that are available in the current "Check Availability" including all dates and hotel booking rules will be displayed. For example, when unchecked and the guest is looking for a 1 night reservation, then any 5 night package rate will NOT display. We recommend displaying all rates, regardless, so guests know what other options may be available to them if they change their search parameters.

Days in Advance to Allow Change Reservation - Select the default number of days in advance of the check-in date on a reservation to allow a guest to make modifications. Entering zero days turns off the option to change a WebBook reservation. An entry of 1 day will enable changes up to and including day of arrival.

Days in Advance to Allow Cancel Reservation - Select the default number of days in advance of the check-in date on a reservation to allow a guest to cancel. Entering zero days turns off the option to cancel a WebBook reservation. An entry of 1 day will enable cancellations up to and including day of arrival.

Days of the Week to be Considered Weekend - Select which days of the week are consider weekends for weekend rates. roomMaster will update these settings each time a Rate Update is sent.

Room Search

Show Results as - Choose how multiple room night reservation rates will be quoted.

Show "Stay as Low as" - When checked, the lowest rate for all room types and rate types that are showing will appear in the upper right as "Show as $xxxx.xx" --- the Result of the lowest rate is dictated by the above option "Show Results as".

Default Number of Adults - Select the default number of adults that is common for when a customer lands on your Hotel Booking Engine. The common entry for this is "1".

Allow Groups to book Shoulder Dates (+/-) - When unchecked, and a guest enters a Group Code, they can only book for dates within the Group Checkin/Checkout date. When unchecked, the guest can come early or leave after the group range. When a guest uses a group code, the system will make sure the guest stays for at least one day inside the Group range.

Default Rate Code - Enter your default (Rack or Best Available) rate code. This rate code is used for groups with an overridden rate (no rate code assigned) for Hotel Booking Rules.

Default Max Days - Select the maximum number of nights a guest is able to book a reservation.

1 Adult + 1 Child = 2 Adults - Check this box to change/use the 2 adults rate if there are 1 adult and 1 child in the room.

Free children before charging - Select the number of children to allow in a room before charging any Extra Child fees.

Default to List View - When checked, the default upon landing on the booking engine is a list of all available room types instead of the carousel display.

Hide Total Rooms - Select this option to suppress the rooms column in the list view of room types.

Minimum Length of Stay is Based on - Global setting which determines how date specific minimum length of stay requirements are applied when guests are checking availability.

  • Based on Stay Through - Every stay date for the reservation is checked to ensure it meets each minimum night restriction.

  • Based on Arrival Date - Only the check-in date of the reservation is checked to ensure it meets the minimum night restriction.

Communication Configurations

Letter Email Name - Enter the name of your Hotel or Reservations Department - ie: Blue Lagoon Reservations

Letter Email Address - Enter the email address that a guest can reply to when they receive their booking confirmation email. Emails are sent out via SendGrid to allow for the maximum efficiency for speed as well as spam filtering.

Please note:

  1. Any links that appear in the confirmation email are masked to a SendGrid address that resolves to the set address. This is expected and normal, since we (iQ-WebBook) are sending out the emails on your behalf.
  2. In the From section of some email clients (Gmail for example), it will display a "via sendgrid.me" message in most email clients. This is expected and normal as well.
