All Reservations due in on a particular Audit Date must either be checked in, cancelled/no-showed or have the arrival date changed to allow the Dayend Close to complete. When there are still guaranteed reservations left to arrive at the time of the Dayend Close, use the following procedures to properly handle No-Shows.
No-Show Steps

Locate the remaining reservation(s), highlight and double click or select Change.

Verify there is some form of payment such as a credit card, city ledger account or Advance Deposit.

Select the Cancel Reservation button and select the Bill as a No-Show option, then OK.

This process will check the reservation into a folio called No-Show that will appear in the Guests Checked Out section of the Guest Ledger. The No-Shows will not have room numbers assigned to them.

If the reservation has an Advance Deposit, it will be automatically transferred to the No-Show folio.

The folio should be left with a balance, so if there is an Advanced Deposit leave it as is or if there is no Advanced Deposit post a No-Show Charge using account code 420 for the No-Show fee. Leaving the folio with a balance prevents it from being transferred to Guest History during the Dayend Close procedure.

The following day, Management can review the No-Show folios using the Guest Ledger Report and then can make an informed decision on whether to charge the No-Show or not.

If the guest arrives the following day, then the folio can simply be Re-checked in using the ReCheckIn button on the folio.
It is not recommended to post No-Show charges or refunds directly on the Advanced Deposit Ledger of the reservation since reservations are automatically purged from roomMaster as defined in File History. Handling the charge for the No-Show on the Guest Ledger provides a permanent record of the transaction through the folio process. If no-shows are processed through the Guest Ledger, the Rooms Sold Detail by Date report can be used to print out a listing of no-shows from previous days.
