iQ-Schedule Options
Configure workstation, printing and notification options for iQ-Schedule.
General Options
Check and Print Events during CheckIn - This option will print an event itinerary for the guest profile attached to the reservation when the guest reservation is checked into roomMaster. Only events for the date range of the reservation are printed.
Default New Events to Non Guaranteed - This will default all new events to non guaranteed. Unchecked, all new events are guaranteed automatically.
Prompt to Cancel Events when Cancelling Reservations - When this option is selected, an extended prompt screen appears when Cancel Reservation is pressed on a guest reservation with scheduled events on the iQ-Schedule tab. All scheduled events are displayed by those inside and outside the date range of the reservation. Check the Cancel all above in range events and/or Cancel all above out of range events to cancel the respective events.
Note: Users with Limited Access to iQ-Schedule will be get the prompt screen to cancel events attached to the guest profile on the reservation. The prompt will not appear for any users with No Access to iQ-Schedule.
Hide Resource Names on each Event in Calendar - By default, the resource name will show in the Day, Week and Monthly view on the calendar event item. This should be checked if you do not have multiple resources. (ie: keep on for a spa)
Show iQ-POS option throughout Calendar - Select this option to display the Point of Sale button on the calendar(s) and on the MultiPerson tab. Unchecked, the Point of Sale button does not appear.
Include iQ-POS History on Staff Reports - Selecting this option displays items previously purchased on the guest profile on the Staff Reports. Your staff can use this information to make suggestions for products based on the guests previous purchases, or up sell services based on previous visits.
Star Rating Values for Receipts
This feature allows you to enter star ratings to identify high volume guests based on the Total Sales from the guests profile. Enter benchmark revenue amounts generated from a guest to achieve each star level. The star ratings appear on the Staff Reports and Receipts, making it easy to identify your VIP guests.
Workstation Level Settings
The options below are workstation specific and would need to be configured on each workstation running iQ-Schedule.
**Bypass Print Preview **- Use this option to print any reports or receipts without reviewing them.
Ticket Printer Override - Select the printer to print items for this workstation. iQ-Schedule will default to the roomMaster default printer if nothing is selected. If you are printing receipts, it is highly recommended to use an Epson receipt printer as the override printer.
Always Remember Last Calendar Selected - When this option is selected, iQ-Schedule will open the last calendar and resource displayed on the workstation when iQ-Schedule was closed. The sort sequence of the calendars is disregarded. Use this on workstations that usually work with only one calendar.
Example: A property has calendars for Meeting Rooms, Tours and a Spa in that sequence order. The spa is last, since it is used by the fewest users. With this option selected on the spa workstation, iQ-Schedule will open to the Spa calendar as long as the Spa calendar was the last calendar displayed when iQ-Schedule was closed. If the Tour calendar was open on the Spa workstation when iQ-Schedule was closed, then the Tour calendar would open.
Notifications
iQ-Schedule can notify staff members or contractors(people resources) when they are booked for an event or an event is changed or cancelled. You must have iQ-Messenger to use this feature. All settings entered are global and apply to all calendars.
Configuration Settings for iQ-Schedule Event Notification
The information entered here is used to send Event Notifications from iQ-Schedule to employees or contractors. The Email Calendar Events option must be checked and a valid email address entered for the staff member(people resource) event notifications are to be sent to.

Email Address - Enter a valid email address that will accept bounce back messages, but not an address that would receive an event notification. For example, you could use noreply@myhotel.com or info@myhotel.com or some other general mailbox. The event notification will not work correctly if the event notification email has the same address in the From and To fields. This field is required to send out notifications.

Name (Optional) - Enter your name or a short description to appear in your message such as Event Alert or My Hotel Event Alert which will appear when the message is sent. It is recommended to include the property name to assist people resources that may be receiving notifications from multiple properties.

Message Type - Select the message type to be used for all Event Notifications.

Send as Email Message - This option sends an email to the recipient notifying them of a scheduled event. Included in the email are the details of the event including the date and time. The Email Message is also included.

Send as Email Message with ICS VCALENDAR attachment - This option sends the same email as above, but with a meeting request file attachment. The recipient can open the attachment and then accept the meeting request to enter the event on their Outlook calendar.
Include Guest Email and Phone Number in Notification - When checked, the guest email address and phone number from the guest profile is included in the message sent to the staff member(people resource). This allows the staff member to have contact information for the guest to coordinate any changes directly.
Email Message
Enter a message to include in all Event Notifications. It is highly recommended to include a name and contact information for a person the staff member should contact if there is an issue with the event.
Event Notifications are only sent OUT from iQ-Schedule. If the staff member declines the meeting request from the attachment or emails back that there is a conflict with an event, it will NOT be entered into iQ-Schedule. All changes must be done manually, so it is important that the staff member contact a person at the property to resolve any issues with an event.
iQ-Messenger Status
In this area the user is advised if iQ-Messenger is running.
