iQ-Scan - Configuration

Configuration of iQ-Scan is completed in Setup > Configuration > Manage > External Interfaces > iQ-Scan. The Device Options need to be configured for each workstation using iQ-Scan. Changing the Global Options on one workstation will change them for all workstations.

Workstation Settings - Device Options

Device ID - Select the name of scanner this workstation will use when scanning. Scanner names are setup when the scanning software is initially installed.

Note: If sharing the scanner between multiple workstations, be aware that the scanner splash screen will pop-up when scanning which may interrupt users on the computer where the scanner is physically connected.

Global Options - Image and Result Options

Enable Scanning - This is the global option to enable scanning. If this option is not checked, users will not have the option to scan an ID or view a scanned ID.

Image Display - This option defines which roomMaster user profiles can see which images. User profiles are configured under Setup > User Profiles. Click here for more information.

  • No Images - This option never displays the face or ID image for the selected user profile.

  • Face Only - This will display only the face image to the selected roomMaster user profiles. Additionally, only the name from the ID will be displayed in the text details.

  • Full Image - This will still display the face image on screen for easier viewing but will print out the full ID image and all information in the text window to the selected roomMaster user profiles.

Passport/Driver ID and Date of Birth are Result Options. Each of these fields is pulled from the scanned image and can be copied to a specific field in the guest reservation/folio. Clicking on the drop down box reveals the fields available to display the information. The option selected is where that information is displayed on the folio. For example, if Drivers Info is selected for Drivers ID, the drivers license number from the scanned image is placed in the drivers info field on the Other Information tab. These fields are available for all users unless the Never option is selected, regardless of the Display Image option selected.

  • Never - The information will not be displayed when this option is selected.

  • Extrafield 1,2...6 - Selecting one of the Extrafields displays the scanned information in the selected custom free form field. The custom field must be configured with a label for the information to display. Go to Setup > Configuration > User Fields to define the custom fields.

Ignore Country - Enter the country where the property is located to only enter country information for guests from outside the country.

Purge Days - Enter the number days to retain scanned images. Images will automatically be purged when a folio has been checked out this number of days during the audit or when the purge button is selected. The recommended setting for purging images is 30 days, the maximum number of days is 999.

Purge Button - Click on this button to purge the scanned information from roomMaster.

Always overwrite existing data - When selected, the scanned information will overwrite the existing information on the reservation. Unchecked, the scanned information only updates blank fields on the guest record. For example, if a reservation has only a first and last name, the scanned information will complete the address fields on the folio, but not overwrite the name fields.
