iQ-Keylocks Configuration

Configuring a Keylock System Interface Program

  1. Select a computer to run iQ-Keylocks program. Navigate to the roomMaster folder on the server and create a short-cut on the desktop to rw5keylk.exe. You only run one copy of the iQ-Keylocks application.

Note: If COM Ports will be used to communicate between the Keylock computer and iQ-Keylocks, there must be a serial (RS-232) connection between the COM port of the Keylock computer and a COM port on the computer running iQ-Keylocks. This serial cable must be a null-modem cable since you are connecting two computers together. Null Modem adapters are NOT recommended as they have been found to be unreliable. You can purchase a null-modem cable from COMPUSA or Radioshack.

  1. Run the iQ-Keylocks interface (rw5keylk.exe) on the workstation selected and select the Setup button.

  2. On the Interface tab select your manufacturer from the pull down. For KABA/Atlas, also make sure to select the proper configuration for your property.

  3. iQ-Keylocks can use either IP or COM based communication to pass the information between roomMaster and the keylock computer.

  • COM Based

    In Use Port select the correct port (COM1, COM2, etc.) on the iQ-Keylocks computer being connected to. Change the PMS Integration menu item's baud rate to 1200 baud in your Keylock computer. It is important not to run the baud rate higher. If you do not know how to do this, contact your Keylock representative or refer to your Keylock manual. InnQuest Software does not have this information and cannot help you. Once you have set the baud rate, there must be a check mark in front of PMS Integration in the Keylock system setup so it is turned on.

  • IP Based

    In Use Port select IP. The Communications Parameters section will gray out and the Network Configuration highlight. IP Communication can only use TCP (Transmission Control Protocol) and not UDP. In the IP/Port field specify the IP address followed by a colon (:) and the port for the Keylock computer on the network, such as 192.168.1.15:4545.

    Note: For iQ-Keylocks to interface correctly with a Keylock program using IP communication, the message format received from the Keylock program must be the same for IP communication as it is for COM based communication. iQ-Keylocks is going to read the data received the same way regardless of how it is received.

    Make sure the PMS integration is turned on the Keylock system computer.

  1. Check the Auto Initialize check box.

  2. On the General Options tab select whether or not you wish to Remove Leading Zeros from room number. For example, roomMaster has the room as 0123 but the Keylock interface knows it as 123. Enter a Prefix if required by your vendor.

  3. The User Groups tab allows more options. If using Ving Keylocks, enter SINGLE (must be upper case) for the User Type and GUEST (must be upper case) for the User Group. If there are additional UserGroups in either Ving 2100 or Ving Vision, you can enter them as the Alternative User Group 2 and/or 3. Valid Options for Ving 2100 is either UserGroup 1,2,3 or 4. Valid Options for Ving Vision and TimeLox would be "GUEST" "VIP Guest" or any other option setup by Ving.

Note: For Ving 2100, the options are only single digit, numeric (1,2,3 or 4 with the default one being 1). The User Group will be a number, either 1 (Guest), 2 (Guest with extended unlock time), 3 (Guest with deadbolt override) or 4 (Guest with extended unlock time and deadbolt override).

The passwords are the same Exit and Configuration passwords for EPI. If you are not using EPI or have not configured the passwords already, press Passwords and enter passwords to prevent someone from accidentally shutting down the Keylock Processor. Then press OK and press Initialize to start the session.

caution

iQ-Keylocks must be running at all times for the interface to work properly. You should minimize it and leave it on the taskbar. It is recommended that this interface is run on the server or a computer away from the users (out of sight, out of mind) so a user does not close it by accident.

Configuring a Keylock System Interface on each Workstation

The keylock interface can only run on the number of workstations you have a license for. Licenses are assigned on a first use basis, so do not test on a separate workstation you do not intend to use keylocks on.

On Each Workstation:

  1. Select Setup > Configuration > Manage > External Interfaces > Keylock Workstation Settings. Select the proper options.

Run keylock functions on this PC - Select this option to enable keys to be made from this workstation.

Create keys when checking in guest - roomMaster will automatically prompt to make a key each time a reservation is checked in.

Prompt for Number of Keys - Check this option to allow the user to select how many keys will be made. Unchecked, the number entered in Default Copies will be made.

Do not send CheckOut Notifications - Some keylock programs do not require notification that a room has checked out. Verify with you vendor prior to selecting this option.

  1. Enter your default number of copies and the hour the key should expire on checkout. The standard is one hour more than regular checkout time.

  2. Enter the Keylock Encoder device this workstation will use to make keys. Keylock systems recommend not using device number 1, reserving that device number for the encoder next to the Keylock computer, usually used to make master keys.

  3. On the Global Settings tab, enter the authorizations you use in your hotel. These authorizations allow access to other areas throughout the hotel such as the pool, spa, meeting rooms, and fitness centers. If you want to give access to these by default, check the Default box as well. The user can change these settings whenever they make a key.

Note: If you are using the KABA Ilco FDU, you must swipe the authorization card and select option 3, PMS mode. This mode must be active at all times. To stop the authorization time-out from happening, select FDU Setup > FDU Features > FDU Configuration >Timeouts and change the PMS Timeout to be off.
