WebBook Configuration
Setup > Configuration > iQ-WebBook
Configuration for using iQ-WebBook within roommaster consists of two sections, the URL used for WebBook and optionally, any AddOns that will be available through WebBook.
Local Settings
iQ-WebBook Website: The URL that clients will use to access your WebBook booking engine. This will be specific to your hotel and the information will be entered during installation and configuration of WebBook and should not need to be changed unless instructed to do so by support.
iQ-WebBook Admin: The URL that authorized staff will use to access the admin site for your WebBook booking engine. This will be specific to your hotel and the information will be entered during installation and configuration of WebBook and should not need to be changed unless instructed to do so by support.
Integration Settings
If using additional AddOn items (aka, Daily Charges) that guests may purchase when making their reservation through WebBook, these items must be entered and configured here.
Click the AddOn button to Create, Update or Delete AddOn items. Each AddOn item will have 3 tabs with information to enter.
General
Inactive Item: Checking this box will keep the configuration information for the item but no longer display the item for the guest to book.
Group Header Name: The name of the group or section that this AddOn will be displayed in. Grouping similar items together makes it easier for guests to view and select items. For example, you may have one group for Flowers that lists different floral arrangements available for purchase, another group may be Tickets with different event items guest may purchase tickets to during their stay.
Entry Number: The entry number is used to sort the items, lower numbers display first. Set the entry numbers in the order you would like to display the AddOn items on WebBook.
Short Description: This is essentially the title of the AddOn that will show on WebBook. It is a reference to what the item is that is available for the guest.
Extra Short Description:
Lower Date: The lower date that the item is available for purchase. Reservations prior to this date will not be able to select the AddOn. Leave this field blank to not restrict the availability dates and always display the item.
Higher Date: The higher date that the item is available for purchase. Reservations after this date will not be able to select the AddOn. Leave this field blank to not restrict the availability dates and always display the item.
Exclusive Rate Code: Entering a rate code here will only display the item for purchase when the guest has selected the corresponding rate code. When another rate code is selected, the item will not display. Leave this field blank to not restrict the item to specific rate codes and always display the item.
Exclusive Group Code: Entering a group code here will only display the item for purchase when the guest has selected the corresponding group code. When another group code, or no group code is entered, the item will not display. Leave this field blank to not restrict the item to specific group codes and always display the item.
Minimum Days Notice before offering item: For items that require prep time or advanced notice to purchase, set the number of days prior to check in that are needed. This will only display the item for purchase when the check in date is the specified number of days out.
Not Available for Weeday/Weekend Arrivals: Select the check box to not display the item when guest is arriving on a weekday/weekend. Note, selecting both of these options at the same time will prevent the guest from seeing the item.
Only show item if there are/are no children: Select the check box to only show the item for purchase when there are children (or no children) entered in the reservation. Note, selecting both of these options at the same time will prevent the guest from seeing the item.
Detail
Enter a detailed description of the item that will be displayed on WebBook. This description may include HTML tags to improve the display of information to the guest.
Item Information
Account Code: Enter the account code that will be posted in roomMaster for this item. This must be a valid account code. See Account Codes for more information.
Item Price: This is the amount the item will cost and post to guest folios. Note that if an item is free to the guest, enter a value of 0.00 here.
Price Display: This is the price that will display on WebBook to the guest. This should typically match what is entered above but can include additional text for items to provide clear information to the guest. For example, flowers may have a price of 65.00 but the price display would be entered as $65/dozen to indicate the price is per dozen.
Deposit Percent: The percentage amount of the price that will be charged at the time of booking.
Voucher: This is the voucher line that will be displayed on the folio for items purchased.
Quantity: Determines how the guest will purchase the item. Can be a simple check box to indicate they wish to purchase the item, can be a number to allow them to choose how many of the item to purchase, it can automatically be set to the number of adults, children or adults+children in the reservation.
Day item is Available:
- First Day of Checkin
- Every Day of Stay
- Pick Day (User will pick)
- Pick Day including Checkout Date (User will pick)
When adding or modifying AddOns, you MUST sync them to WebBook so items are displayed properly with the current and current configuration. The simplest method to do this, after making any changes to AddOns is to close the Configuration window and immediately trigger a full rate update (Setup > Rates Management > Trigger WorldLink Update) This will send a current copy of the AddOns up to WebBook.
