Internet Settings

Setup > Configuration > System > Internet Settings

Email settings are used to configure roomMaster to use an SMTP server for e-mailing confirmation and other letters.

You'll need to know the type of mail server you use, your account name and password, and the name of the outgoing mail server. InnQuest Software cannot provide you with this information or give you a mail server.

What is SMTP?

An email server is used to transfer email between computers by Simple Message Transfer Protocol (SMTP) rather than an email client such as Outlook or Outlook Express. This means that roomMaster hands off the email message to your SMTP server and the server then relays the message to either the final destination (the receiver) or to a relay server (sort of like a Postman who will then manage the delivery). It is the client's responsibility to install and setup the SMTP server and not InnQuest Software.

What is POP?

POP (Post Office Protocol) is used to receive emails, not send them. However, some mail servers require you to authenticate and login to your Inbox before you can send messages from your Outbox. This is used so other people, called "spammers", cannot use your mail server to send emails pretending to be you because they wouldn't know your password to authenticate with your POP server.

The proper settings for SMTP and POP can be found by opening up your Outlook or Outlook Express, selecting Tools/Accounts, and writing down all your SMTP and POP settings. They can then be entered into roomMaster. If you do not know your SMTP or POP passwords, this can only be given to you by your Internet Service Provider, and not InnQuest Software as we would not have access to your security information.

Default Email Settings

roomMaster allows you to configure email settings to be used globally and settings for each workstation. For information on the following settings, you must contact your Internet Service Provider, computer department or you can copy your settings from Outlook/Outlook Express by clicking on Tools and then Accounts and checking the Properties of your Internet provider.

Send Method Send using SMTP or Exchange Server This will send the email 'behind the scenes' using your SMTP server.

  • The E-Mail Address is limited to 128 characters and must only contain ONE email address. (address@domain.com)

  • The Name is limited to 50 characters and should not contain any special characters such as ' or " or % to make sure it is valid in all mail systems.

Email Address

Enter the return e-mail address. This will also appear in the "From" field in the receivers e-mail message. For example, reservations@myhotel.com.

Name (optional)

Enter the a name which will display in the receiver's From field. For example, enter the name of your hotel or Hotel Name Reservations.

Workstation Override Email Settings

Use the settings below if you would like to override the global settings and use a different email address and name when sending emails from a specific workstation.

Email Address Enter the return e-mail address to appear when messages are sent from this workstation. This will also appear in the "From" field in the receivers e-mail message when the message is sent from this workstation. For example, "reservations@myhotel.com".

Name (optional) Enter the a name which will display in the receiver's From field when messages are sent from this workstation. For example, enter the name of your hotel or Hotel Name Reservations.

Never check Domain Names when exiting Email fields on this Workstation When selected, domain names for email addresses will not be verified for this workstation, even if the Always Check Domain Names... option is turned on in Setup Outgoing SMTP Server.

SMTP Configuration

To determine your SMTP settings, contact your Internet Service provider or IT professional. You can also mirror the settings from your Outlook or Outlook Express, if you use either of these programs. If you use a web mail provider, such as Hotmail, Gmail, or Yahoo, you may contact them or do a web search for the appropriate settings. Click here for an example using Gmail.
