Any changes to these settings require other current active users to Exit or Re-signon to obtain the new values.

System

  • Currency Picture - Select a Currency Picture to show how currency (Money) will appear on screens and reports. View more information about currency pictures.

  • Change Journal - Track Folio Access and Printing - Select this option to also track each time a user goes into any Folio as well as anytime a Detail Folio is printed. This can take a lot of disk space and is only recommended when troubleshooting issues or specific security issues.

  • Change Journal - Track Special Receipt Printing - Select this option to track when Special Receipts are printed from either a Reservation or Folio.

  • Hide Children from Personal Information - If the property does not allow children, you can hide the children fields from Reservation and Folio Properties, as well as Housekeeping and some reports.

  • Hide Tax Incidentals Checkboxes from Stay Information - Select this option if all charges (anything that is not Room Revenue) is always taxed and you do not want users to uncheck this box by mistake.

  • Main Menu - Show SignOff Button - Add button to the toolbar to show the SignOff/SignOn button to make it easier to switch between users.

  • Show Pop-Up calendar as small - Creates a more compact popup calendar.

  • Time-out for Inactivity is 10 minutes instead of 15 minutes - Decrease the time-out period to 10 minutes when a user has been inactive in the system.

  • Uses iQ-WebBook - Set to true if using iQ-WebBook online booking engine.

  • Uses QuickInn Mobile - Set to true if using QuickInn Mobile.

  • Uses Enhanced Housekeeping App - Set to true if using an add on housekeeping app.

  • Clerks and Auditors can never access Configuration - Restricts access to Configuration, regardless of Menu Class, to all user profiles with an accounting security level of Clerk or Auditor. Enabling this Advanced Option prevents the auto sign-off after 15 minutes of inactivity requirement.

Availability

  • Hide Show By Room Number - Hide the "Show by Room Number" button on the F4-Availability screen. This is usually for very large properties who never book by room number and only book by room type.

  • Disable Drag and Drop - Disable the Drag/Drop feature on the F4-Availability screen.

  • Open on all Drag and Drop Events - By default, if you move a room assignment on F4-Availability screen for the same room type and same CheckIn/CheckOut date, the move will happen without showing the reservation form. By setting this to Yes, the reservation form will appear and the user will have to press OK to confirm the move.

  • Skip priming Adults/Children when Starting New Reservation - When this is on (YES), then starting a new reservation from F4-Availability will always default to the default adults/children. When this is off (NO), then starting a new reservation from F4-Availability will use the number of adults/children that is set in the drop-downs.

Reservations

  • Automatically connect Guest Profiles for Room Moves - Should only be enabled for small hotels where guests will move from room to room during their stay. If small properties have room moves (guests who have to go from room to room during their stay), this will allow the system to prompt when a guest needs to move to their new room as well as connect Confirmation Letters and SignIn sheets for the Guest Itinerary.

  • Do not Pop-up Notes when Opening Reservations - When enabled, if notes exist on a reservation, they will not pop up when opening the reservation.

  • Adjust Confirmation Letters for Room Moves - When printing Confirmation Letters, and this option is turned on, the system will see if there is a room move (on the Guest Profile Number level) and modify the Checkout date as well as Total Stay figures.

  • Hide Gift Certificate Option - Hide the Gift Certificate button on the F5-Reservations screen. This is usually for properties who use the Gift Card system and do not use Gift Certificates.

  • Hide WaitList Option - Hides the WaitList checkbox on the Reservation form so reservations cannot be placed on the WaitList.

  • Allow Assignment of other room types - Set to Yes to allow a user to assign a room of a different room type to a reservation. An example would be a reservation which is for a KING bed, when this option is checked, you can assign any room number you want, even if it isn't a KING bed. Checking this option is not recommended and the user should change the room type if they decide to actually assign another room number.

  • Allow Double Booking of rooms - Set to Yes to allow a room to be assigned more than once for the same day. This may be used when you actually book a room more than one time a day such as the room being used in the afternoon even if there is a reservation for the evening. This allows the room to be assigned to a reservation and have a walkin/checkin use it at the same time. It does not, however, allow you to check-in more than one guest in one room at one time, nor can you block multiple reservations for the same room.   • Enable Discounts on the Rate Record - Set to Yes to configure discounts on the rate record instead of the Rate Code.

  • Enable Revenue Account on Rate Record - Set to Yes to set the room revenue account on the rate record instead of Rate Code.

  • Disable CheckIn Wizard - Set to Yes to suppress the prompts to confirm guest stay information during the processing of checking in a reservation. Selecting CheckIn on a reservation record will automatically display the guest record properties of a folio to be able to select CheckIn or CheckIn/Guest Ledger.

  • Automatically apply group settings when group code attached - Enable (Yes) setting to always apply group stay information to a reservation record when attaching a group code and suppress confirmation prompt. Disable this setting (No) to have the system prompt end users on applying group stay information when attaching group code to a reservation record.

  • Auto-link Guest Profile on received reservation - Enable (Yes) setting to automatically link guest profiles to incoming reservations from Worldlink that match the Last Name and at least two of the following fields: First Name, Email address, Phone1, Zip/Postal Code. Note that all compares are case insensitive and phone numbers are compared without any special characters (numbers only.) In the case of multiple guest profiles matching, the one with the highest number of matches will be used.

  • Auto-Create new profile on received reservation (NOT RECOMMENDED) - When this setting is enabled (Yes) any new reservation received through Worldlink that does NOT match a existing guest profile (if Auto-link guest profile is enabled) will automatically create a new guest profile and assign the profile to the reservation. This setting should NOT be enabled unless required for a 3rd party interface.

Quick Room Display

  • Hide Housekeeping Status column - Hides the "Housekeeping Status" column from the Room Display / By Room screen. Can be disabled if the property does not use the "Housekeeper in Room" or "Inspection Requested" features.

  • Hide Room Chart tab - Hides the Room Chart tab on the Quick Room Display. Usually turned on for very large properties.

  • Show Room Number on Arrivals for Today - Set to Yes to add a column containing the room number assigned to an arriving reservation in the Arrivals for Today section.

Guest Ledger

  • Always update Checkout Serial Number when Printing Folio - By default, the checkout serial number will increase only when the guest has fully checked out. Check this option to advance the serial number both during Checkout as well as if the folio is printed before the checkout. (Serial Checkout numbers appear on Guest Folios)

  • Disable creation of Desk Folios - Turn this option on to stop certain level of users from creating Desk Folios from the F8-Current Folios and Guests screen. (Create Desk Folio)

  • Disable auto-closing Folios after 2 minutes of inactivity - By default, if a folio is left open on a screen, the system will close it after 2 minutes. This ensures that the folio does not stay locked for a long period of time for external posting (EPI, POS, etc.) -- It is recommended not to disable this option without a real good intention.

  • Disable Recheckin with new folio option - Check this to disable the ability to recheckin a new folio during the Confirm Checkout process. If you are using a Frequent Stay program, IDeaS yield management or Duetto yield management, these systems do not understand when guests create new folios with extended data and are not part of a regular checkin or walkin process. If you are using any of these types of systems, it is recommended to turn this option on for more accurate statistics in external systems.

  • Disable Credit Card Account validation during posting - Check this to disable the Special Account Assignment that ensures that the credit card matches the proper account code.

  • Long Term VAT posting based on NET - By default (No), the long term posting amount, when reduced, is based on the full VAT/GST amount. If the long term tax percentage should be based on the NET amount (not including VAT/GST), then select Yes.

  • Disable voiding zero balance accounts - Set to Yes to restrict voids of transactions posted to an account code configured as a zero value code.
