General Options

Password Security

Passwords can be required for all users when signing on to roomMaster. Checking this option turns on the password function. There must be a user profile for each user even if Password Security is turned off.

PCI/Use Level 2 Security

This option enforces a higher level of security within roomMaster.

  1. All User Signons to the system are recorded in the roomMaster Event Log (Setup > Configuration > Manage > Display Event Log) as Informational messages.
  2. Passwords must be at least 6 characters or more and contain both numbers and letters.
  3. Passwords must be changed every 90 days and the new password must be different from the previous four passwords. roomMaster will prompt the user when the password needs to be changed.
  4. The user profile is disabled automatically after six failed login attempts.
tip

Disabled profiles can be reactivated manually by a Manager or Supervisor. Go to Setup > User Profiles, and select the disabled user. Then, uncheck the Profile Disabled option. Profiles disabled due to too many failed sign on attempts are reactivated automatically during the Dayend Close PreCheck process.

warning

To maintain PCI compliance, the Password and PCI/Use Level 2 Security options MUST be checked and remain in effect at all times.

Multiple drawers

roomMaster has the ability to use multiple terminals and multiple cash drawers. When Multiple Drawers is checked, a cash drawer number is required along with the user's initials (and optionally, their password) when signing on to roomMaster. If two clerks are working on the same shift on separate computers with separate cash drawers, Multiple Drawers allows reports to be generated which break down information by shift and drawer.

Warn on overbooking

roomMaster accepts reservations regardless of room availability. When Warn on Overbooking is checked, the clerk is warned if any reservation causes overbooking.

Day of Week Setup

If your hotel counts Sunday (or any other day) as part of the weekend for determining which rates apply, check which days apply to Weekend.

Change Journal

Enable Change Journal

If this option is checked, all field level changes to reservations and folio properties will be logged. A supervisor will be able to view all changes made to reservations and folio properties, date/time of change, and before and after values of each field.

Auto-Purge when deleting reservations

If this option is checked, change journal entries relating to reservations that are deleted will also be deleted. This helps maintain the change journal tables.

Property UTC Time Zone

Time Zone

Select the time zone where the hotel is located. This will be used to set the display time within roomMaster.

Use Day Time Savings

Select the check box if daylight savings time changes should apply to the time zone selected.

Loyalty Program

The loyalty program settings are primarily for use with 3rd party guest management systems. The settings are used to set information on guest profiles and when using Agora, will be sent to 3rd party systems.

Default Expiration Date

When using a GMS compliant loyalty program, this setting will be used as the default date that the program will expire. The date may be changed on individual records as needed.

Program ID

The identifier for the loyalty program. This is typically the site ID unless a shared program is used for multiple properties.

Advanced Level Setup

The program levels are defined here. For example a reward program may offer (Bronze, Silver and Gold) loyalty levels.
