Sub Folio Options

You can set the system to have up to four specific sub folios by default for every guest you check in. Each of the four sub folios can have a different default label of up to 15 characters. It is highly recommended to have a label for Sub Folio A at least since all charges will appear there if no other sub folios are created.

The system will create a sub folio for each folio that has a default label at check in time. So if Master, Restaurant and Phone are entered as the defaults for Sub Folios A, B, and C respectively, each new check in would automatically have three sub folios.

tip

Only enter labels for sub folios you want created for ALL check ins. Sub folios can be created easily on individual folios, if needed, using the More Folios option.

Incidental charges and Sub-Folios

You can configure a sub-folio to be the Incidental folio, the folio where EPI and clerks should post all incidental charges for the guest, keeping room charges on a separate folio. Enter a label for an available sub folio and select the Incidental option next to that sub folio. EPI will automatically post charges to this sub folio. The incidental folio can be marked with a color, so that clerks can quickly identify and post charges on the proper folio. Press Incidental Sub Folio Color and select a color for the text of the label of the sub folio. You can remove the color by pressing cancel on the choose color screen.

Only create additional folios when Travel Agent or Direct Bill When this option is selected, only check ins with a travel agent or direct bill city ledger account attached will have sub folios created. This allows you to have one folio for the majority of your guests, but automatically separate room charges from incidentals for travel agent and direct bill guests who should not see their rate or room charges.
