Sales Centers
roomMaster allows you to track up to five sales centers by assigning a sales center to each of your Room Revenue, Charges and Adjustment accounts. This allows you to record revenue directly related to a specific city ledger account, travel agent and group. When the night audit runs, the specific revenue posted for that day is also posted to the corresponding company, travel agent or group and to the proper bucket. This allows you to track how much revenue each of these companies, travel agents and groups give to you. It can be used to evaluate new business and spot trends in who provides you with the most or least revenue.
Setting Up Sales and Revenue Centers
This feature is accessed by clicking Setup > Configuration > Guest Ledger > Sales Centers. You must first setup which sales centers (maximum of five) you wish to use and then, assign which account codes belong to each of the five sales centers.
To assign a sales center to an account code, go to Setup > Configuration > Guest Ledger > Account Codes > select the account code you want > General tab > Sales Center. Select the appropriate Sales Center from the drop down list.
It is recommended to assign a Sales Center to each Room Revenue, Charge or Adjustment account. Payments and transactions should not be assigned a Sales Center. Once the Sales Centers are setup, the revenue is posted during the dayend close. It is important to setup your sales centers properly so that the proper buckets are updated during each dayend close.
Anytime the Sales Centers labels or the account codes attached to Sales Centers are changed, the Sales Centers Buckets need to be rebuilt. Complete this by clicking Setup > Configuration > Guest Ledger > Sales Centers > Rebuild Sales Centers Buckets now... This will reorganize the past data in the system and update it with the new configuration.
Reviewing the Sales Center Revenue Breakdown per Company
Go to Back Office > City Ledger/Company Master or press F9. Select Company Master > select a Company > Change. Then click on the Sales tab on the Company Master screen of the company you selected. Here you will see a breakdown of Sales Centers Revenue for the company you have selected. The data on this screen is broken out by monthly period.
Print Sales Recap - The Print Sales Recap button will take you to the standard roomMaster print report screen. Once the report appears for viewing, you may choose to print the report or create a PDF.
Expand - The Expand button will open a pop up screen displaying a quick breakdown of Sales Center Revenue for the period highlighted in the Company Master window.
