Data Grid Preview

The Data Grid Preview screen displays the results of your query or statement. Each column can handle up to 128 characters.

  • Report - Select to print the results from the Data Grid Preview screen. If the results have been filtered, only the results after filtering are included on the report.

  • Label - Select this option to print labels from your results. Use the prompt screen to configure the labels to print properly.

  • Columns - Select this option to view the SQL Statement, column information, and other formatting options included in the SQL statement. Information is view only and cannot be edited.

  • Options - From here you can customize the Font and Grid options on the Data Grid Preview screen. You can also select display options for the report created.

  • Export - Select this option to configure export options for the results.

Note: If the Allow export of data option has not been selected in an Embedded SQL Report, the Export option will not appear.

Functions available in the results grid

  • Right-click inside any cell to copy the results, column or row to the clipboard

  • Right-click on any column header to filter the results grid

  • Left-click on any column header to sort the results grid. Select the first row (row number) to put it back in the original order.

  • Ctrl+LeftClick on any item or items in the results grid to sum/count/average them. As each item is clicked on, the cells are either added to the results and the cell is highlighted or removed from the results.

  • Shift+LeftClick on any item to highlight the range from the last cell selected.

Filtering the Data Grid Preview

SQL Statement results can be filtered on the Date Grid Preview. Left clicking on a column header will sort the the column from lowest to highest or alphabetically. Right clicking on a column header displays each result included in the column, minus any duplicates. If results include a blank field, <Blank> will also appear as an option. Select a result to only see items including the selected result.

Example: Your statement includes the names and addresses of all future reservations, and after executing the statement you only want reservations from a certain state, Florida for example. Right click on the State column and select Florida from the options. The Data Grid Preview will only show the results for reservations for guest with a Florida address.

You can also right click on a specific result and filter for that result. A list of options appear that allow you to Copy the Field, Row or Column or Filter by the entry in the field.

Example continued: Continuing the previous example, further filter the results to only display results from a certain city, Orlando for example. In the City column locate a result that has Orlando for the city and right click on it. The last option on the menu will be Filter "Orlando". Select this option and only results with Orlando as the city and Florida as the state will appear.

Right click on any column and press Clear Filter to remove the filter.
