Meeting Rooms
roomMaster does not have the ability to book rooms or space other than on a daily basis. Meaning, you cannot book rooms by the hour.
To book a meeting room, make a regular reservation for the day the meeting room will be used, but put the number of rooms to zero. This will create an inventory only reservation. It will not affect occupancy. You can post any deposit for the meeting room as normal on the reservation and you can even preset all the charges using the Daily Charge function.
To have meeting rooms not affect Occupancy and ADR, go to Setup > Configuration > Reservations > Room Types and select the Do not include this type in all Dayend Close and Availability figures for all Meeting room room types.
Also, it is important that you do not post Room Revenue to these folios. Simply override the rate on the reservation (and folio) to zero and use the More Options > Daily Charges function to add other account charges that should be posted daily to the room such as Parking. Make sure any account codes used are not Room Revenue accounts. When running the Auto-Post during the Dayend Close, these rooms will be skipped of Room Revenue postings and not affect ADR.
Checking in Meeting Rooms
When the meeting room is needed, checkin the reservation normally. The deposit will transfer over to the room. Be sure to check the meeting room in as the extension number of the phone in the room if you are using EPI so phone charges are posted correctly.
A desk folio will be created to manage the billing for this meeting room. Check out the desk folio as you normally would when the meeting room is no longer in use.
