Rate Changes

Rate Changes are accessed by selecting More Options > Rate Changes from within the properties of a reservation or guest folio.

Rate Changes

The system allows you to enter two rates on each reservation and guest folio property screens. These can be as follows:

  • Weekday/Weekend
  • Weekly/Daily
  • Monthly/Daily
  • Package Rates

If the rate changes during the guest stay, a rate change entry will automatically be created. Click on the Rate Details button to see the daily rates during the guests stay. If the guest stay is from July 1st through July 7th, and there is a rate increase for July 3rd and July 4th, the rate change will show for July 3rd and 4th.

Note: Rate changes will not be applied at all if you do not turn on the Apply Rate Changes during Guest Stay which is located in Setup > Configuration > Reservations.

Manually changing rates during the guest stay

roomMaster allows you to enter up to 10 different rates for a single reservation or folio. Use the following steps to manually enter rate changes:

  1. Check the Override Rate checkbox on the reservation or guest folio property screen.

  2. Enter the guests initial rate in the appropriate fields next to the Override Rate checkbox.

  3. Click More Options > Rate Changes.

Note: The option will be Rate Changes/Yielding Options if Yield Management is turned on.

  1. On the first row , enter the first date the guest should be charged a different rate in the Start Date column. In the End Date column, enter the last date the guest should be charged that rate.

  2. Enter the Weekday, Weekly or Monthly rate the guest should be charged, depending on the selection made on the reservation or guest ledger properties screen. Then enter the Weekend or Daily rate, again depending on the selection.

  3. Enter the next set of dates and rates on the second row and continue on for as many rate changes as needed.

  4. Click OK when complete

Notes:

  • The dates entered can be days, weeks, or months apart, as long as the guest should be charged the rates entered in between the two dates entered.

  • If there is a gap in the dates, the rate on the guest record will be charged.

  • A Guest has Rate Change link will appear on the reservation or guest ledger properties screen when rate changes are entered manually.

If there will be more than 10 rate changes, each additional rate change can be entered as a Daily Charge using account 100. If a daily charge entry is made on a reservation or guest folio for room and tax (account 100 or 101), then regular room and tax posting will be skipped for that particular day and the special amount will be posted.

Yielding Options

There are two additional options for Rate Changes in regards to Yield Management. These options are secured by each user profile.

Ignore Yielding from Yield Management - If the reservation or folio has been yielded, you can check this box to ignore all yielding changes and only charge the base rate.

Note: If you are changing an existing reservation, and previous dates/rates were locked prior to choosing the "Ignore Yielding" option, only dates and room type changes different than the original booking will not be yielded. The original rates will still remain in a yielded state. If you wish to completely not yield a previously booked reservation with locked rates, do the following:

  1. In the reservation go to More Options > Rate Changes/Yielding Options and check Ignore Yielding from Yield Management.
  2. Mark the reservation as Override Rate (leave rates at zero).
  3. Save the reservation.
  4. Reopen the reservation and uncheck Override Rate checkbox.
  5. All rates for all days will be at the regular, unyielded rate.

Keep existing rate and upgrade room type to - This option is only available on reservations and not on folios. Upgrades must occur during the reservation process only. Upgrades give you the ability to keep the existing rate but change to another room type. This is helpful should you decide to upgrade a reservation but keep the existing quoted rate. When an upgrade is being applied to a reservation, the Rate Code field will have a light-green background.

The following important rules apply when using the Upgrade Room Type feature:

  • The Rate Type must be a valid rate type for both the original room type and the upgraded room type. You cannot upgrade a room to another room type if the rate type does not exist for both.

  • Yield Management must be turned on to lock the rate for the original room type to the upgraded room type, but the yielding profile does not have to be applied. Go to Setup > Rates Management > Yield Management and select a Yield Type option other than "No Yield Management". If Yield Management is turned off, the rates for the upgraded room type will be applied to the upgraded reservation.

  • Once a reservation has been upgraded, the rates for the range of the stay AT THE TIME OF THE UPGRADE are locked regardless of the new room type or the number of adults/children. Any changes made to the reservation length of stay (either earlier or later) will be quoted at the normal rate. This protects management from upgrading a guest and then the guest deciding to stay longer or coming in at another time.

Example: If a reservation is for a QUEEN bed for 2 nights at $129 each night, and it is upgraded to the KING bed (which is $199 a night), the reservation will remain at $129 each night. Should the reservation be extended for additional night(s), at any point after the upgrade was selected, the rate for those nights would be at $199. If you wish to upgrade an extended or changed reservation, you must unselect the Upgrade checkbox, select the base room type, and then reselect the upgrade option to lock the new range in place.

  • Upgrades do not take into effect any changes to the number of adults, children or room type. If a reservation is upgraded, and changes are being made, it is highly recommended to unselect the upgrade box and renegotiate the changes with the guest.

  • Due to room assignments and room requirements, upgrades are not be used on Group or Allotment reservations at this time.
