Assign Rooms

roomMaster's Assign Rooms feature allows a specific room(s) to be blocked when making a reservation.

Simply click on the desired room(s) in the list of Available Rooms, then click on the Assign > button to move it to the list of Assigned Rooms. roomMaster keeps track of the reserved, assigned, and unassigned rooms in the bottom right of the window.

The Remove button will move the highlighted room number from the Assigned rooms list on the right to the Available rooms list on the left.

Once a room is assigned, no one can check-in to that room or block that room if there is a conflict with the length of stay between either reservation. Also, the room type of the reservation cannot be changed without first unassigning the blocked room(s). roomMaster will display a prompt to unassign all blocked rooms if the room type is changed on the reservation.

Show/Add Connecting Rooms

The Show/Add Connecting Rooms checkbox at the bottom of the Room Assignment screen will filter the Available rooms list on the left to show only the rooms that are setup as connecting rooms with any room that you currently have in the Assigned rooms list on the right.

When assigning connecting rooms to a reservation, assign the main room and then check Show/Add Connecting Rooms. Rooms do not have to be the same room type to be connectors, so you could assign a Suite room type to a reservation, then assign a connecting parlor or king room type as the second room. When checking in a reservation that has connecting rooms, simply checkin the main reservation and all connecting rooms will checkin automatically. The room rate on the connectors will be $0.00 and all charges will automatically reroute to the main room.

Example: Let's assume you have set up room 101 and 102 to be connecting rooms. (Setup > Configuration > Reservations > Room Numbers > select a room > Change > Connect Room).

After assigning room 101 with the Assign button, check the Show/Add Connecting Rooms checkbox to filter the Available rooms list to show only those that connect to room 101. Room 102 will now appear and be available to assign to Assigned rooms list. Any other rooms that you may have setup to connect to room 101 would also appear.

[!TIP] Only available rooms will display. Any connecting rooms that are already blocked for another reservation will not be included.

Lock Assignment

This check box will lock the rooms that you assign to the reservation record. This will ensure that the assigned rooms can not be cleared if the Auto Assign feature in roomMaster is run. The guest name appears in yellow on the Availability/Room Chart by Room Number screen for reservations with a locked room assignment.

Click on Close when you are finished assigning rooms.

Once a reservation is cancelled, the blocked rooms are automatically removed.

Assigned Rooms Display on a Reservation

When displaying a reservation (the reservation form), and the checkin date is for the current audit date, the status of the room is checked. When the assigned rooms are displayed, the background is in either RED or GREEN. If at least one room is not in a Vacant/Clean status, the background will be in red. If all room(s) are in a Vacant/Clean status, the background will be in green. Status colors only display on non-share, current date reservations.
