Confirmation Letters

Confirmation letters can be printed one at a time when in a reservation. You can also flag a reservation to print a confirmation letter later (by batch), or you can create an export file to merge with Microsoft Word.

A confirmation letter can be produced for a single reservation or a group of reservations. For a single reservation, click on the Print Letter or Email Letter buttons located across the top of the reservation form. To send a group of confirmation letters, use the send in batch feature.

HTML Confirmation Letters and Internal Copies

Since WebMail and Microsoft Outlook (and MAPI) do not support HTML, sending HTML confirmation letters will not end up in your Sent Items folder of Outlook. This is because roomMaster bypasses all Windows functions to send out HTML and sends them out directly. The roomMaster Journal (More Options, Change Journal) keeps a record of when an email is sent out for each reservation. If you need a full copy of the email, you can simply BCC (Blind Copy) yourself for each HTML letter you create. In the Letter Editor, click on Options and then enter your own hotel name in the Bcc Email field. You can setup a special email address (confirmations@yourhotel.com) for example that is used specifically for receiving and tracking these confirmation letter copies.
