Auto Assign Rooms

The auto assign rooms features will automatically assign a room to each reservation. If the reservation is for more than one room, it will assign as many rooms needed. By using the auto assign rooms feature, the system will find the best possible fit for each room so you can minimize the risk of moving a guest from one room to another during their stay. When rooms are being blocked manually, they tend to leave broken gaps between days, but with auto assign, the broken gaps are removed slotting rooms in the best possible order.

When running the auto assign option, you have the option to remove all the assignments first so that you reassign all the rooms. If you assign a room and you want to keep the room to the reservation, you can select the Lock Assignment option when assigning rooms for each reservation. When the lock option is turned on, the room assignment will not be removed. Reservations with locked room assignments will display yellow text in the Availability/Room Chart by Room Number screen.

You have the ability to select a range of dates and other criteria when assigning rooms. You may just want to assign all the reservations that are coming in today or for a busy weekend in the future.

Select Options

Clear All Assigned - This option removes all room assignments for rooms within the selection criteria. Blocked rooms with Lock Assignment turned on will be ignored.

Use Unavailable Rooms - Select this option to assign rooms that are marked as unavailable assuming you will correct the unavailable problem before the guest is checking in. (Not recommended)

Give unavailable rooms one extra day for cleaning - Checking this option will not assign a reservation to a room which becomes available on the checkin date. This allows for one extra day for cleaning and to ensure that the room can actually be used.
