Room Work Orders

Room Work Orders are billable maintenance tasks completed in a guest room which may be deducted from the owner or commission statements or used for billing in Trust Accounting or Owner Operated Rooms. Review all room work orders from Back Office > Room Work Orders. Work Orders can be entered by clicking Insert on the Room Work Orders screen or from the Room Properties screen. You can access the Room Properties screen from the Availability/Room Chart by Room Number screen (right click on a room) or from the Housekeeping screen. Work orders can also be deleted from these screens by highlighting the work order and selecting Delete.

Transaction Information

Enter the room number the work was completed in using the drop down box, then enter the dates. Clicking the calendar icon displays a calendar to help selecting the correct transaction and completion dates. Enter a short description of the work in the voucher field. The Voucher field will appear on owners and commission statements. The Journal Account field can be used to tie the transaction to a general journal account number in your accounts payable or accounting system if needed.

Billing Information

Enter the correct amounts for Materials, Labor, and Other as cost amounts. The Total Amount displays the total of these three fields. It is hardcoded and cannot be changed. Enter the number of hours it took to complete the work in the Hours field.

Other Information

The initials of the user signed in are entered by default, but other user initials can be entered. The information entered in the comment field is for internal use only and will not appear on the owner or commission statements.

If the same work was completed for multiple rooms, click the Duplicate Last (Ctrl +L) button to duplicate the last set of information entered.

Work order amount totals are deducted from the commission and owner statements if selected to do so before running the reports. You can also run reports from the Reports > Accounting menu. You must have "Accounting" permissions on the Report Access tab of your user profile for access.
