Out of Service
roomMaster allows you to put a room Out of Service for a date range in the future. This may be when a group of rooms are closed for the season. The Out of Service date must not conflict with future reservations, inhouse guests or when a room is Unavailable.
Where to put a room Out of Service
Right-click on the room from the Availability Screen (F4) by Room Number or on the room in the Room Chart tab of Quick Room Display and select the Room Properties option. Next, select the Out of Service tab and enter as many future out of service date ranges that you require for that room. Click on the Calendar icons to assist in selecting the Start Date and Becomes Available dates. Use the drop down box to select a reason the room is going out of service. Frequent reasons can be entered in Setup > Configuration > Housekeeping > Room Note Reasons. If the reason is unique or does not happen often, type it in the reason field.
If a range of rooms are being put out of service for the same reason, for renovation for example, click on the Range of Rooms button and Lower Room and Higher Room fields appear. Enter the range of rooms to be taken out of service. The room number of the room properties screen where the range of rooms is being completed from MUST be included in the range of rooms. For example, from the room properties screen for room 204, you could take out a range of rooms starting with room 204, like 204 - 220, or a range ending with room 204, like 145 - 204, or a range of rooms inclusive of room 204, like 201 - 210.
Range of Rooms only works to put rooms out of service. An out of service date range can only be modified or deleted for a single room.
Differences between "Out of Service" and "Unavailable"
Out of Service - Putting a room Unavailable in the future for a date range. There can be multiple Out of Service ranges for the same room. An "Out of Service" date must be in the future. During the night audit, if the Out of Service start date is the same as the new audit date, the room is automatically changed to "Unavailable" and the room is moved from Out of Service to Unavailable. If the room is occupied, the Out of Service entry remains unchanged until the guest is checked out. Once the guest is checked out, the room is then changed automatically to Unavailable.
