Rate Adjustment Wizard
The Rate Adjustment Wizard is used to adjust room, tax and daily charge postings on a guest folio quickly and easily. This adjustment wizard can be used once room and tax postings have been charged to a guest folio. The adjustments made will only be up to the current audit date or the guest's check-out date.
Properties
This is where you can change anything about the guest once they are checked in. You should use this button to change the rate, discount, or tax information. Once you change the properties of the guest, you can then select the Void and Repost Room/Tax and Daily Charges option.
Void and Repost Room/Tax and Daily Charges
This option will remove all Room/Tax and Daily Charge postings from the guest folio and then repost them as if they were posted each day with any new changes to the guest properties. The system will then update the Last Post Date, Next Post Date and Room&Tax Posted for Today flags.
Example: A guest checks in at $199 weekday and $219 weekend. The guest then checks out, but notifies the clerk that they deserve a 10% senior citizen rate that was not put on the folio originally.
- Press Properties
- Enter the 10% discount where the discount is originally suppose to be entered
- Select the Void and Repost Room/Tax and Daily Charges option and press the Adjust button.
Remove all Room/Tax and Daily Charges
This option to void all room and tax postings and daily charges for a folio and not automatically repost anything. Use this to COMP a room as a goodwill gesture. make sure to document why the charges were voided in the Notes section of the Guest Record.
Apply discount to entire guest stay
Select this option to make a single adjustment to the guest folio. Enter the amount of the discount and select whether it is to be a percent or an amount. The account code set for Room Adjustment (Rate Wizard) in Special Account Assignments is used to post the adjustment. Any taxes applied to the adjustment tax code will be adjusted off also.
Example: A guest checks in at $199 weekday and $219 weekend. The guest then checks out, but notifies the clerk that they deserve a 10% senior citizen rate that was not put on the folio originally. Instead of above where room and tax is reposted, one simple adjustment entry is created on the folio.
- Select Apply discount to entire guest stay, enter 10 in the Discount field and select Percent
- Press the Adjust button.
Change and Repost the last Room/Tax posting
Use this option to only adjust the most recent Room and Tax posting on the folio. Daily Charges will not be adjusted.
Example: A guest checks in at $199 weekday and $219 weekend. The guest then checks out, but notifies the clerk that have a 50% off coupon for one night that was not applied on the folio originally. The last Room and Tax posting is voided then reposted to the rate entered.
- Select Change and Repost the last Room/Tax posting and enter 10 in the rate amount that should have been posted for the last Room and Tax posting.
- Press the Adjust button.
Abate all Room Taxes (For Long-Term Stays)
Use this option term stays where after a certain number of days, the guest is no longer charged tax for their stay.
Example: A guest checks in as $45 weekday and $45 weekend and continues to extend their stay until they have been in house for 45 days. In this location, any guest that stays for more than 30 days should not be charged tax.
- Press Properties and change the tax status to Non-Taxable or Full Exempt, if they are continuing their stay.
- Select Abate all Room Taxes (For Long-Term Stays)
- Press the Adjust button.

Post for tonight as well
roomMaster will make a logical guess whether or not to check this box automatically. You may to change the option if it is enabled. If room and tax has already been posted for tonight, the system will check this box. If the guest has already checked out or should leave today, you will not be able to use this checkbox, but must manually post room and tax using the Insert transaction button and using account code 100 or 101.
Posting and Adjusting COMP rates and refunding payments
When a room is COMP'ed or adjusted, and a guest has already made a pre-payment (whether it be cash or credit card prepayment at checkin), once the adjustment is made, the folio should show a credit balance. You must then refund the money back to the guest. If it is a cash paying customer, use account code 299 or 600 account (Cash Refunds). For a guest that used a credit card, use the appropriate credit card refund account code. Adjustments to room revenue can be done by voiding room and tax or by using an adjustment account. Management should decide which is the best way for your organization.
To COMP a room after prepayment is made:

Void the room and tax entries (repost as necessary for adjustments)

Insert/Add Transaction

Use Account 299, 600, 203, etc. which are refund accounts

Enter the remaining credit balance
Voiding and Rooms Sold
When voiding room and tax, the number of rooms sold that day is reduced on the dayend close audit. This allows for proper accounting since the number of rooms sold the day before is +1, a void (because of a COMP room) would be -1 which would yield a result of 0 rooms sold. If you do not want this adjustment to show on the number of rooms sold, you should use the Room Adjustment account code rather than voiding room and tax.
