Adding a Transaction

Any entry made is called a Transaction. Adding a guest charge or payment is done by pressing Insert on the Guest Folio screen. The Folio Transaction screen appears. Enter the account code or press the Account List button to bring up a listing of available account codes. Account codes are created in Guest Ledger Setup.

You can enter either enter the account code, or a portion of the account description such as "Cash" or "Visa" or "Crib".

Once the account code is selected, enter the amount. If the amount field is grayed out once the account code has been selected, the account code has been set to not allow the amount to be modified. Enter the voucher number and/or a description. If the account code has been set to require a voucher number, the field will be yellow and a voucher number must be entered to complete the transaction. This could be the telephone number for a telephone charge, a valet ticket number for parking valet or a Laundry ticket number. Once you click on OK, the transaction is saved and balances are updated accordingly.

Adding a payment transaction is the same as adding a charge transaction. The account code selected determines whether a transaction is a charge/debit transaction or payment/credit transaction. Account codes in roomMaster can either be a debit or a credit, but not both.

Transactions entered incorrectly or in the wrong folio can be voided or moved. See Moving/Voiding a Transaction for more information.

Room and Tax transactions can be entered manually using Insert or via the Auto Post feature. Other daily charges can automatically be posted each night by using the Daily Charges feature.

Use This Type - Automatically use the account code associated with the pay type of this folio.

Account List - Displays a list of available account codes to choose from.

History - Recalls last 25 transactions entered in this session (since roomMaster was started on this workstation). Continue pressing the History button to recall each of the last 25 transactions entered to help enter common transactions quickly.

Foreign Currency - This option will appear when the Show Foreign Currency button on Transaction screen is selected in Guest Ledger Setup. Use this to complete foreign currency conversions for postings. See Foreign Currency for more information.
