Printing and Group Contracts
Print reports and a contract for a group by selecting Printing & Contracts from the group block.
Group Contract Options
Up to 5 different group contracts can be created.
Note: When printing allotments, Total Stay information is based on one night reservations.
Use the arrow keys on the bottom left to select the contract to create or edit.
Contract Title - This is a general name for the type of groups this contract would apply to.
Rooms Title - This appears in the title bar above the room block information on the contract.
Base Room Value in x Adults - Enter the number of Adults the bookings will be based on, since no reservations have been entered.
Do not include Rate information - By default, the rate per date and room type is included on the contract, along with the total revenue. Check this option to not include this information on the contract.
Do not include Charge Routing - The Default Charge Routing section of the contract shows the reroute groups selected for the group. Check this option to not display this information. If all attendees are paying there own charges, this information is not needed.
Do not include Billing Information - The Guarantee Information for the group can be hidden by selecting this option. This is the information included on the Contact tab of the group.
Add Tax to Room Value - With this option checked, tax is included in the rate per date and the total revenue.
Update Contract Text - Enter the Terms and Conditions for the Group Contract type. These should be the global Terms and Conditions for all groups of that category. If there are specific group Terms and Conditions, they should be placed directly on the Group Block record under the Notes tab in either Group Concessions or Group Policy and Conditions. The Group Contract will print both Terms and Conditions on the contract together. Use runtime variables to merge group details into general contract information.
To print a group contract, select the Contract Title that applies to the group. The contract will appear in the print preview screen from which you can PDF and/or email the contract.
Print Group Folio
This is a recap of the group reservations made to date. Select the date range to be included along with how the rate information should be displayed and whether to include Cancelled reservations. Room revenue by reservation and for the group are included on this report.
Print Reservation List
This is a Reservation Detail Report filtered only for the group.
Final Group Pickup Report
This report gives a revenue total based on checked out rooms for the group broken out by date. Enter the COMP Room Factor and/or the Credit Per Room and the respective information is included on the report.
