Group Blocks with Charges and Deposits
Full service groups, which require meeting rooms, deposits, group billing of items and transfers of charges can be done quite easily. Here are some examples of using the system for a full-service group.
Creating the Group Block and Contract
Create the Group Block with the Group Coordinator and apply the rooming requirements in the Block Info tab and enter the Contact information as well. Using the Print Options button, you can then create a contract for the group as well.
Setting up To Do's
Using the To Do's tab, setup your contact requirements with the group such as 90 day out, 60 days out, 30 days out, 3 days out, etc. so you can stay in contact with the group automatically. These items will show up when you signon or through the Front Desk > To Do and Event Items.
Setting up Master Billing/Rerouting Charges
On the Reservations Tab, you can use the "Reroute Charge Options" to setup master billing. Click here for more information.
Adding Master Deposits and Master Charges
Create a regular reservation and attach it to the group. Set the number of rooms to zero to make it an "Inventory Only Reservation". At this point, you can post a master deposit to the group. You can also post master charges to the group by using More Options / Daily Charges, where you can enter items such as restaurant and banquet charges, meeting room and audio visual needs. When the group arrives, and you use the Group Checkin option, a desk folio will automatically be created and the charges and deposits will be transferred over to one master folio (desk folio) for billing.
