What if/Goal

The What If/Goal feature allows you to create different scenarios and see the effect on your revenue, rooms, groups, or anything that is included on a chart.

From a chart window, press Edit Chart Data > New Series (What-If/Goal) to enter the scenario parameters.

Current

Series Name

Enter the name for the series of data points to be created. The Series Name will be displayed in the legend on graphs.

Data Selection

Select an option to create a data set for the scenario you want to see on the chart.

  • Highest in Series plus - This option will take the amounts in a single series, or the highest amounts from multiple series, and add the value entered in Amount either as a fixed amount or as a percentage to create a new series.

  • Highest in Series - This option will take the amounts in a single series, or the highest amounts from multiple series, and create a new series.

  • Lowest in Series plus - This option will take the amounts in a single series, or the lowest amounts from multiple series, and add the value entered in Amount either as a fixed amount or as a percentage to create a new series.

  • Lowest in Series - This option will take the amounts in a single series, or the lowest amounts from multiple series, and create a new series.

  • Average in Series plus - This option will take the amounts from multiple series and calculate the average between the series, then add the value entered in Amount either as a fixed amount or as a percentage to create a new series.

  • Average in Series - This option will take the amounts from multiple series and calculate the average between them to create a new series.

  • Fixed Amount - This option will create a series for a fixed amount across the graph based on the value entered in Amount. The Percent option for Amount is ignored when this option is selected

Amount - Enter the amount of change to apply and select whether it is a flat amount or a percentage.

Series - Leave this option blank to include all current series data when creating the new series. If you want to create a new series based only on another series, enter the series name and select Include Only. To exclude a series when creating a new series, enter the series name then select Ignore. All other series in the chart will be included in calculating the new series except the one entered.

Save Above What-If/Goal for Auto Load - This option saves the parameters entered to be loaded each time the chart is opened. Saved series are displayed in the Saved tab.

After entering all the parameters of your scenario, press Create New Series to create the new data set to be displayed on the chart.

The series created will appear in the Chart Legend using the Series Name. The data is displayed in the Chart Data. From there it can be edited just like a series created by roomMaster.

Saved

Saved What-If/Goal series created for the current chart are listed. All saved series for the chart title displayed are shown when the chart is first opened. If the chart has multiple titles available, i.e. Total Revenue, Booked Rooms, Revenue Comparison, etc., the saved series is only applied to the chart title that was open when it was saved. So if you saved a series for Total Revenue, then use the drop down box in Chart Data to view Booked Rooms, the What-If/Goal data set would not be displayed on the chart for Booked Rooms.

What-If/Goal Examples

Example 1

To create your budget for next year you want to take the revenue for the best months from past years plus 10%. Use the following steps to display this scenario:

  1. Go to Reports > Forecasting and Availability > Revenue Analysis

  2. Enter a Lower Date of January 1 and a Higher Date of December 31 of the previous year.

  3. Select Monthly for the Report Type.

  4. Select an option for Revenue Based On and Room Revenue Calculation and press OK.

  5. In the Chart Data section, use the drop down box to select Revenue Comparison. The previous year selected will display as the current year and up to 6 previous years will also display. roomMaster includes the previous years automatically in the Revenue Comparison title of this chart.

  6. Press Edit Chart Data.

  7. Press New Series (What-If/Goal)

  8. Enter a Series Name, such as Budget.

  9. Select Highest in Series plus... and in Amount enter 10.00 and select Percent.

  10. Press Create New Series.

A new series will be created that takes the best January, February, March, April etc. from all the years in the chart and adds 10% to those amounts. In this way you can see what 10% added to you best months from past years would look like. From here, you can look at other factors and edit the Budget series with any adjustments, then display the final results on a graph.

Note: If you prefer to review the room revenue in more detail than monthly, select Daily or weekly for your time frame.

Example 2

Instead of taking the best months from previous years, you just want to add 10% to a specific previous year to see what that would look like.

  1. Go to **Reports > Forecasting and Availability > Revenue Analysis **

  2. Enter a Lower Date of January 1 and a Higher Date of December 31 of the previous year.

  3. Select Monthly for the Report Type.

  4. Select an option for Revenue Based On and Room Revenue Calculation and press OK.

  5. In the Chart Data section, use the drop down box to select Revenue Comparison. The previous year selected will display as the current year and up to 6 previous years will also display. roomMaster includes the previous years automatically in the Revenue Comparison title of this chart.

  6. Press Edit Chart Data.

  7. Press New Series (What-If/Goal)

  8. Enter a Series Name, such as Budget.

  9. Select Highest in Series plus... and in Amount enter 10.00 and select Percent.

  10. Enter the Series Label for the year you want to increase by 10% in Series Label and select Include Only from the drop down box. This will add 10% to the series/year you want to increase by 10%.

  11. Press Create New Series.

Again, you can look at other factors and adjust the scenario for your property. You can edit the Budget series with your adjustments then display the final results on a graph.

In both examples, use the Chart Legend to show only the series you want on the graph.
