Displaying Data

The Charts and Graphs in roomMaster are pre-designed by InnQuest Software, but can be customized to display the data in a way that best suits your needs. Once the chart has been produced, use the options in the menu to edit the report.

Design

In this section, you can change the basic colors of the chart.

Appearance Select the background color for the graph options available. The Black option can be applied to all Chart Options, while Nature and Gray are only available for the Bar, Stacked Bar, Line and Step Line options.

Palette Select the color theme to use for your charts and graphs. If a theme is changed, the chart is automatically updated to display the new selection.

Label Position This option is displayed for Bar, Pyramid, Funnel, Pie, and Pie 3D charts. It allows you to select where to position the label in the chart for easy visibility.

Marker Type This option is available for Line and Step Line chart types. Choose what shape to use to mark the points in the graph. Options include Circle, Diamond, Hexagon, and Triangle.

Chart Options

Use the radio buttons to select the type of chart or graph.

BarDisplays a vertical bar representing the amount of the item in the graph. A separate bar is displayed for the item for each time frame. If multiple items are being compared, each is represented by its own vertical bar placed side by side.The amount posted to account codes 100 Room Taxable and 101 Room Non-Taxable for January through June would result in two bars for each month representing the amount posted for each account code for each month.
Stacked BarVertical bars for different items are stacked on each other displaying a total amount for all the items included. A separate bar is displayed for each time frame in the graph. This graph is good for displaying parts of a whole over a time frame.The amounts posted to all Room Revenue account codes (100,101,102) over certain months could be shown with a single bar for each month and the amount for each account code would be a different color within the bar. The top of each bar is the total posted for all three account codes for that month.
LinePoints on a graph represent the amounts of the items selected. Straight lines are used to connect the points. Multiple lines, each with their own color, are used to display multiple items.The room revenue for the past 12 months could be displayed with a point for each month connected with a straight line. Different color lines would be displayed for multiple years.
Step LinePoints on a graph represent the different items selected. Horizontal and vertical lines are used to connect the points. Multiple lines, each with their own color, are used to display multiple items.Display the previous years occupancy against the current occupancy forecast over the same time frame. Each year would display on a different color line.
PyramidDisplays the item amounts in the shape of a pyramid with the lowest/smallest amount at the peak of the pyramid and the highest/largest amount at the base. This chart is good for displaying parts of a whole from least to most.Chart how many items were sold in a category in iQ-POS over a time frame from least to most.
FunnelDisplays the item amounts in the shape of a funnel with the highest/largest amount at the top and the lowest/smallest amount at the base. This chart is good for displaying parts of a whole from most to least.Chart employee sales in iQ-POS over a time frame showing which servers had the most sales to those with the least.
PieDisplays a full circle with multiple sections. The amount of each item is represented by a "slice" of the pie.Display the total amount of adjustments broken down by adjustment account codes for a month.
DoughnutDisplays a chart like a Pie, except with a 50% hole in the middle. Good for printing a Pie Chart, but using less ink and easier to print/see.Display the total amount of adjustments broken down by adjustment account codes for a month.

Note: For Bar, Stacked Bar, Line, and Step Line, a legend will appear in the upper right corner of the screen to assist in reading the graph.

Show Labels Check this option to display the labels on the chart.

Whole Amounts Check this option to display only whole amounts when labels are displayed. Decimals will display when unchecked.

Rotate Data Check this option to reverse the X axis with the items being charted. For example, for a Bar graph of the number of Booked Rooms over a time frame, roomMaster defaults with each date for the time frame on the X axis and a bar representing the number of rooms booked for each date. When Rotate Data is checked, the X axis is now Rooms Booked and a separate bar is displayed to represent each date in the time frame.

Explode Points This option only appears for Pie and Pie 3D charts. When checked, any points that are set to Expand As Special Point will be separated from the rest of the pie.

Save as Image Select this option to save the graph on the screen as an image. Use this to create images to include in management presentations.

Preview Image Select this option to display the current chart or graph. The Windows application on the workstation assigned to display .jpg files will be used. The user will then be able to use the features of the application to edit or print the image.

Note: The values in the chart or graph cannot be customized when the image is opened in the Windows application. Use the Edit Chart Data feature to edit or add to the values included.

Chart Data

Use the drop down box to select the parameters you want to use to display the chart. For example, for Occupancy by Day, the default is Occupancy Forecast, showing past or future occupancy as a percentage. Select Rooms Booked to show the number of rooms for the same time frame. For Rates Analysis, you can select to display the chart by Rooms, Revenue, Adults, Children, Total People or Groups.

Customize the data displayed in Charts and Graphs by pressing Edit Chart Data.

Chart Parameters

Title Change the title of the chart by typing over the default title. Clicking the Filter icon2 button allows you to add or edit titles. Each field can hold up to 50 characters.

Master Heading - Enter a Master Heading and the Title becomes a sub heading. Use the Master Heading when you are going to include multiple charts in a presentation. For example, use 1st Quarter Results as the Master Heading for multiple charts detailing revenue and rooms booked for the first quarter of the year. Once entered, the Master Heading displays on all the charts selected using the drop down box.

Title - The Title will be the same as the name of the chart or graph selected from the drop down box and appear at the top of the display.

X-Axis Title - Enter a title to appear along the bottom of the graph or chart, for example March for a graph showing the number of booked rooms for the month of March.

Y-Axis Title - This field is completed by default to describe the points or portions displayed in the graph or chart, respectively. On a graph, such as a Line graph, this will appear vertically along the left side of the graph. For a chart, like a Pie chart, it will appear along the bottom of the chart with Shown As to identify what the labels if the chart represent. For example, for the Revenue Analysis, Booked Rooms pie chart, the Y-Axis title would appear as Shown as Rooms to say that the values in the labels for each section of the pie chart are the number of rooms for the dates in the label.

Note: If an X-Axis title is entered for a chart, both the X-Axis and Y-Axis titles appear on the bottom of the chart as Shown as X-Axis:Y-Axis, again to identify the values in the label for each portion of the chart. From the Booked Rooms example above, if March is entered for the X-Axis title and Rooms entered for the Y-Axis, on the bottom of the chart Shown as March:Rooms would appear.

Right Title - Enter a label to appear on the right side of the graph or chart.

Footnote - A footnote can be added to document something special about the chart or graph. It will appear in the bottom right corner.

Label Format Enter a label to be included with the value portion of the data set on the label, such as Rooms if the chart displays booked rooms. Instead of the label for the point displaying 3, it would say 3 Rooms.

  • {M} = Show as money

  • {N} = Show as a number (with commas)

  • {V} = Show the value unchanged (Default)

  • {A} = Axis Label

For example:

  • Total is {M} would show as "Total is $10,000"

  • {N} would show as "1,200"

  • {V} would show as "1,200.12"

  • {N}K would show as "1,200K"

  • {V}K would show as "1.23K"

  • ${V}K would show as "$1.23K"

roomMaster includes a default label format of {M} for any charts that display monetary values, such as Total Revenue, Deposits, Revenue Comparison, etc. This label format will use the geographical settings from Windows on the workstation to apply the appropriate monetary symbol. All other values are constants such as {V}K would display as 100K. For the monetary label, you could enter {M} adjusted or Total {M} adjusted, for example.

Chart Legend

In this section you can choose what items from the legend you want to display. All items default to Show. To hide an item, highlight it and select Hide. Select Show after highlighting an item to display any hidden items.

Chart Data

All the data contained in the graph is displayed separated by Series Label (if needed), X-Axis and Data Point. The Series Label will appear in the Legend when multiple series are displayed in the chart.

New points can be entered on the chart by clicking Insert and entering the information or current data can be edited by highlighting a row of data and clicking Change.

  • Series Label - Enter or edit the label for the points of the data set to appear as part of the legend of a graph. If only one series is displayed on a graph, this field cannot be edited. Changing the label will prompt the user that ALL like labels will be changed as well.

  • X-Axis - Enter or edit the label for the X-Axis for the data set. This will appear below the horizontal line along the bottom of a graph.

  • Data Point 1 - This is the value of the point on the graph or portion of a chart. Edit the number entered to see the effect on the rest of the chart or enter the value you want to include in a new series.

  • Data Points 2 & 3 - These data sets are included for charts created from SQL reports Exported as a Chart. Up to 3 data sets can be included in the chart.

  • Expand As Special Point - Check this option to have the data set exploded for Pie and Pie 3D charts. Use this to emphasize specific parts of the chart, such as the largest or smallest portions.

Export Data

Export the information to an XML file. The file created can be imported into other programs or viewed using Excel.

Combine Data

Combine multiple items on a chart, especially when the items separately do not impact the chart. To combine items, highlight the items to combine in the chart data screen and press Combine Data. A prompt will appear allowing you to enter a name for the newly created item. Press OK and close the items that were selected will be totaled and a new point on the chart displayed.

Example: After running the Transaction History Chart for adjustment account codes, you want to combine dates without any adjustments posted to only display dates with adjustments. Press Chart Data and highlight all the dates with $0 and press Combine Data. Enter No Adjustments for the name and press OK. A single item for $0 will appear in the graph or chart.

If items that have a value or amount are combined, the amount of each item is added together and the total used for the combined item.

New Series (What If/Goal)

This option allows you to add multiple data sets to your chart based on the current items. Enter parameters you want to see and roomMaster creates the new data set for you. See What If/Goal for detailed information on using this feature.
