Bill to Room Setup

The Bill to Room feature in iQ-POS allows you to bill to guest folios in roomMaster on your property. The first step is to create the proper account codes.

Setup transfer accounts for each Point of Sale Outlet

In roomMaster, with supervisor access, select Setup > Configuration > Guest Ledger > Account Codes. Add a debit and credit account code for each of your outlets using account codes between 300-349. The category should be Transfer and the report group and subgroup should be Transfer/Guest Ledger. Zero Value Code needs to be selected on the Other Options tab to ensure a debit and credit are posted to complete the transfer.

By setting up the additional transfer account codes, you can track how many bill-to-rooms each point of sale outlet is making and the guest will see the name of the restaurant, gift shop, bar, etc. on their folio.

For each workstation assigned to a different outlet, you must enter these codes in the Workstation Settings > Bill To Room. Using the examples above, for all the Star Restaurant workstations that will be closing checks, under Maintenance > Configuration and Settings > Workstation Settings > Bill To Room, 310 and 311 would be entered for Transfer Debit and Transfer Credit, respectively. For the Gift Shop workstations, 312 and 313 would be entered. These settings are saved on the workstation level, not a global level.

External Property Setup

This feature allows iQ-POS to bill to guest folios at another property that uses either roomMaster or a PMS system that accepts Micros protocols.

  • No External Property Bill to Room is the default. Select this option if you do are going to use this feature.

  • Bill to Room with Number Window allows you to post to an external property. A touchscreen keypad will appear to enter the room numbers at the other property.

  • Bill to Room with Keyboard Window allows you to post to an external property. You must use this option to Bill to the Room for an external property that has letters in their room numbers, such as M105, or to the direct bill account of an external property.

Folio Posting Breakdown Options

Post Single Transaction is the option that has always been available in iQ-POS. This posts a single-line item to the guest’s folio for the total amount of the charge.

Always Breakdown by Account Code subtotals a bill-to-room charge into groups for each roomMaster account code/tax on the iQ-POS check. This is useful for breaking down food, alcohol, tax, and gratuity from a restaurant; or services, merchandise, and gratuity from a spa. It will even allow a guest to have alcohol charges moved to a different sub-folio for business purposes.

Always Breakdown for each individual item will show a line-item detail from the iQ-POS ticket on the guest folio. This is very helpful when detailed billing is required for group functions.

Show Posting Breakdown Options will display a prompt screen allowing the server to choose how the charge will post to the guest folio from the three options above.

Hide Desk Folios from Lookup window prevents the desk folios from roomMaster to appear when using the lookup window to select a guest room.

Do not prompt for Tip before Bill To Room will skip the prompt to add a gratuity to a Bill to Room charge. Use this option on workstations that normally would not add a gratuity to a room charge, like a gift shop.
