Cookies and their classifications

This help documentation provides information about cookies being used within the booking engine.

Here is an overview of how the Booking Engine and associated services handle cookies and data privacy.

In order to ensure personally identifiable information is handled appropriately, roommaster follows GDPR,DPA, PIPEDA and PDPA guidelines.

Cookie handling and setup specifics:

For booking engine integration we have set up configurable policies to allow the customer to set up the integration to their specific requirements.

To achieve this the customer has access to the following settings in the Hotel Manager configuration (Booking Engine / Configuration):

Cookie banner

The cookie banner can be turned on, off, or set to restricted visibility in Europe only.

Default is always on.

The responsibility for the correct setting remains with the customer.

Cookie policy

The associated prompt to accept the cookie in the banner can be set to accept or an explicit opt-in as is required in some regions.

Default is set to accept.

If the customer refuses to accept cookies, none are set, which will lead to limited functionality in some cases (for example in conjunction with certain channel partners like Google Hotel Search and CPC functionality).

The cookie policy referenced and linked in the banner adapts based on the settings chosen.

The configuration can be accessed in the Hotel Manager under Booking Engine -> Configuration:

As for cookies themselves, the booking engine does not set any cookies that collect or track PII in any way. We also do not collect IP-addresses.

The booking engine uses session cookies for performance tracking and enable functionality only.

Session cookies:

We set session cookies in local storage, which are valid for a maximum of 30 minutes and refreshed on user action.

These cookies may stay in local storage after they expired and will be replaced / renewed when a new session starts.

The filenames of these cookies usually are alphanumeric strings like e.g. "UCKWP24DWZBP" and they only contain session-IDs which serves for anonymized session and service quality analysis.

No personal data of any kind is collected here.

Essential cookies:

In addition to session cookies the booking engine also employs essential cookies for operation of key features like e.g. the pricing basket to enable functionality to complete a purchase.

If the cookie policy is set to allow full opt out and the guest refuses all cookies, these cookies do not get set, which will impact the user experience.

Third Party cookies:

Depending on additional features like Google Hotelsearch / CPC, and other integrations (including Social Media) that can be used by our customers, third party cookies may be set by these external services.
